10 Copy-Paste ChatGPT Prompts for Everyday Office Work
Date Published

Most people do not need to learn prompt engineering. They need ten good prompts, saved somewhere handy, that cover the work they actually do every week. This is that list.
Every prompt below is fill-in-the-blank: copy it, replace the parts in brackets, paste it into ChatGPT or any AI assistant, and you are done. They all follow the same three-part logic (context, goal, tone) that we teach in our beginner's guide to AI emails.
Email and messages

1. The reply you keep postponing.
Reply to the email below. I am a [role]. I want to [agree / decline / ask for more time] while sounding [friendly but firm]. Keep it under 100 words. Email: [paste]
2. The polite chase.
Write a short follow-up about [what you are waiting for], which was due [when]. This is reminder number [2]. Warm but clear, and end with a specific question that is easy to answer fast.
3. The tone rescue.
Rewrite this message so it sounds calm and professional but keeps my point. Do not soften the request itself: [paste your angry draft]
Meetings and updates
4. Notes into minutes.
Turn my raw notes into: a 3-line summary, decisions made, and an action table with task, owner, deadline. Put ??? where my notes don't say. Do not invent details. Notes: [paste]
5. The status update.
Turn these bullets into a status update for [audience]: what got done, what's next, blockers and what I need. Scannable, honest, half a page: [paste bullets]
6. The agenda that keeps it short.
Create a 30-minute agenda for a meeting about [topic] with [attendees]. Goal of the meeting: [decision or outcome]. Include time boxes and one question per item that forces a decision.
Planning and thinking

7. The weekly plan.
Here is everything on my plate: [brain-dump]. Sort into Must / Should / Can wait, suggest a day-by-day plan, and name the one thing that hurts most if it slips. Ask up to 3 questions first if needed.
8. The pre-meeting briefing.
Summarize this document for someone with 2 minutes: three-sentence summary, the 5 points that matter, anything easy to miss, and three smart questions I could ask: [paste text]
9. The idea machine.
I need ideas for [thing]. Constraints: [budget, audience, deadline]. Give me 15 in three batches: 5 safe, 5 creative, 5 wild cards. One line each, then pick your top 2 and say why. No obvious ideas like [the boring default].
10. The decision helper.
I'm deciding between [option A] and [option B]. What matters to me: [criteria]. Argue for A, then argue for B, then tell me which argument was stronger and what question would settle it.
How to make these ten go further
Save the ones you use into a note, keep your favorite versions after editing, and add one line of personal context at the top of each (your role, your audience, your tone). A prompt that knows who you are gives answers that sound like you wrote them. For summaries, our long-document guide goes deeper, and for minutes there is a full walkthrough with templates.
Want the habit, not just the list? The free course ChatGPT from Zero: Your First Week with AI builds these skills in six short lessons, one prompt at a time.
Frequently asked questions
What makes a good ChatGPT prompt for work?
Three ingredients: context (who you are and who this is for), a goal (the exact thing you want), and tone (how it should sound, and how long). Every prompt in this list bakes those in so you only fill in the brackets.
Do these prompts work in Claude and Gemini too?
Yes. All major AI assistants respond well to the same structure. The brackets and instructions transfer as they are.
How do I remember to use them?
Keep them in a note or document you already open daily, and pin the chat app to your taskbar. Most people only need three or four regularly; muscle memory does the rest.
Can I paste work information into these prompts?
Everyday drafts and plans, yes. Customer data, credentials, confidential numbers, no. Swap sensitive details for placeholders like [CLIENT] before pasting.
Why do my results sound generic?
Usually missing context. Add one line about your role, your audience, and your preferred tone at the top of any prompt and the output changes dramatically.
